Introduction

There may be cases where some of your users do not have certain properties configured, such as a work phone number or secondary address. Instead of displaying unprofessional blank spaces or empty labels, you can use conditional statements to automatically hide them. You can configure the signature so that a field will be shown in the signature only when the user has a value for that specific field, otherwise the field will be hidden since you don't want to show empty fields.

Steps

  1. [00:21] - Access the Signature: Open an existing signature within your editor where you want to apply the conditional rules.

  2. [00:34] - Identify Empty Fields: When you preview different users, you might notice that a user missing a specific data point (like a phone number) will display an empty label.

  3. [00:43] - Add Conditional Block: To fix this, locate the conditional field block, grab it, and place it into your signature editor workspace.

  4. [00:49] - Wrap the Field: Drag the entire field you want to hide—including its text label (e.g., "Phone:")—and place it squarely between the opening if and the closing if statements.

  5. [00:58] - Set the Condition Variable: Copy the exact name of the dynamic variable you are targeting (e.g., the phone number variable) and paste it right into the opening if tag.

  6. [01:09] - Understand the Logic: You are now telling the system: If the user has this specific value set, then show all the content between the opening and closing if tags.

  7. [01:21] - Preview the Fix: Click preview and search for the user who was missing the data. The system will now completely hide the label and the empty space.

  8. [01:34] - Deploy or Save: Once you confirm the layout looks perfect, choose to either Apply the signature now or Save it to apply later.
